This policy explains what personal information Contour Group Limited collects when you use this website, contact us or buy from us, why we use it, who we share it with and the rights you have over it.
Who we are
Contour Group Limited (“Contour Group”, “we”, “us”) is the controller of the personal information described in this policy. We are registered in England and Wales, company number 13683003, at 105 Redbrook Rd, Gawber, Barnsley S75 2RG.
For anything to do with your personal information, email sales@contourgroup.co.uk or call 01226 885185, Monday to Friday, 9am to 5pm.
What we collect
- When you enquire, book a call or demo, request a call back or download a brochure: your name, salon or business name, email address, phone number and anything you tell us in your message. We also record the page you sent the form from and how you found our website (for example a Google search, one of our adverts, social media or a link from another site).
- When you buy from our shop: your name, billing and delivery address, email, phone number, what you ordered and the payment method used. Card and payment details are handled by our payment providers; we never see or store your full card number.
- When you buy a machine, training or coaching: the details needed to deliver, install and support it, arrange training, issue certificates and provide warranty and servicing.
- If you have a customer resource hub account: your login details, the machines you own and the documents you access.
- When you sign up to our emails: your name and email address, and whether you open or click our emails.
- When you call, email or message us (including on WhatsApp and social media): the content of the conversation and your contact details.
- When you browse the website: technical information such as your IP address, browser, device and the pages you visit. Analytics and advertising cookies are only used if you choose “Accept all”; see our Cookie Policy. If you choose “Accept all”, we also keep our own record of the pages you view and how you use them; if you then send us an enquiry, the pages you viewed in the previous 90 days are added to it. With “Accept all”, Microsoft Clarity also records how pages are used (for example clicks and scrolling), with anything you type hidden.
How we use it and our legal basis
- To answer your enquiry, send the brochure you asked for and follow up about the machines or services you were interested in – our legitimate interest in responding to and developing business enquiries, or steps you asked us to take before entering into a contract.
- To process orders, deliver and install machines, provide training, coaching, warranty and servicing – to perform our contract with you.
- To keep financial records and meet tax, accounting and other legal duties – legal obligation.
- To send marketing emails – your consent, or for existing business customers our legitimate interest in telling you about similar products and services. Every email includes an unsubscribe link.
- To understand which pages and marketing bring us enquiries, and to measure our adverts – your consent for analytics and advertising cookies and for our own record of the pages you view; our legitimate interest in responding to your enquiry for recording the page a form was sent from, how you arrived and the pages you viewed before sending it.
- To keep the website secure and stop spam and fraud – our legitimate interest.
Who we share it with
We do not sell your personal information. We share it only with organisations that help us run the business, under contracts that require them to protect it, or where the law requires:
- Zoho Corporation – our customer relationship management system, email and marketing emails (data held in the EU).
- Hostinger – website hosting.
- Google – Google Analytics, Google Ads and reCAPTCHA spam protection.
- Microsoft – Microsoft Clarity, which shows us how our pages are used through heatmaps and recordings of visits, with anything typed hidden.
- Payment providers – Stripe (card payments, Apple Pay, Google Pay and Klarna) and PayPal, to take and protect payments, including instalment options which are subject to the provider’s own checks.
- Delivery companies and our engineers – to deliver, install and service what you order.
- Training providers and coaches – such as the provider delivering your qualification or the business coach on a package you buy, so they can arrange it with you.
- Finance providers – only if you ask us to introduce you to finance.
- Our accountants, insurers and professional advisers, and authorities where the law requires it.
Transfers outside the UK
Some of these providers, such as Google, may process information outside the UK. Where they do, the transfer is protected by UK adequacy regulations or the UK International Data Transfer Agreement or Addendum, as required by UK data protection law.
How long we keep it
- Enquiries that do not lead to a sale: up to 2 years after our last contact with you.
- Customers: for as long as we support your machine, and then 6 years after your last purchase for tax and accounting purposes.
- Marketing emails: until you unsubscribe; we then keep your email address on a suppression list so we do not contact you again.
- Google Analytics: 14 months.
- Our own record of website visits: 14 months.
- Microsoft Clarity: recordings up to 30 days, summary data up to 13 months.
Your rights
Under UK data protection law you can ask us to give you a copy of your personal information, correct it, delete it, restrict how we use it, object to us using it (including for marketing, at any time), or send it to you or another organisation in a portable format. Where we rely on your consent, you can withdraw it at any time, for example by unsubscribing from our emails or changing your cookie settings.
To make a request, email sales@contourgroup.co.uk. We may need to confirm your identity, and we will reply within one month.

We protect your information with secure (HTTPS) connections, access controls and reputable providers. No method of sending or storing information online is completely secure, but we take reasonable steps to keep yours safe and will deal with any breach as the law requires.
